Position Overview
The student program coordinator position is a full-time appointment serving the School of Architecture and Design at the University of Kansas. This position is responsible for critical support of the Director of Student Academic Services & Success, managing student academic services for the school. In collaboration with campus departments and other internal & external entities, this position coordinates academic-related activities and establishes/maintains relationships for program resources. This position is responsible for multiple administrative duties and supporting the operational demands of the school. This position will provide student support for academic co-curricular activities. This position works closely with students, faculty, and staff and reports directly to the Director of Student Academic Services & Success.
Job Description
Events Related to Student Academic Services (40%)
  • Under the supervision of the Director of Student Academic Services & Success, works with Dean's staff, Department Chairs and/or Program or Institute Directors, as well as with other faculty, staff, students and/or alumni to:
  • Plans and executes student-facing programs, activities, and events to promote student academic success.
  • Including, but not limited to, Transfer & New Student Orientation, Wellness Week, Mental Health Resource Fair, Hawk Week, M.Arch Bi-Annual Year Level Meetings, Student Appreciation Week, and Academic Welcome Week.
  • Identifies institutional gaps or opportunities for strategic program improvement in student academic success and experience.
  • Analyze internal data (i.e., retention rates, graduation rates, post-graduation employment, etc.) and suggest changes to the structure of current programming and/or suggest new programming to fill the gaps to further support the mission of the school.
  • Supports student organizations:
    • This includes helping the below organizations schedule meetings, obtain resources, and present information from the school on student success initiatives and work collaboratively on such initiatives.

      • KU Black Creatives Collective
      • KU Chapter of Industrial Design Society of America (IDSA)
      • National Organization of Minority Architects (NOMAS)

  • Utilize these resources to inform overall decision making on student success initiatives within the school.

Admin Support to the Director of Student Academic Services & Success (30%)
  • Helps provide an initial response to emails from inside and outside of the school, and direct requests and inquiries to relevant faculty and staff as needed.
  • Provide enrollment reports and information upon request by faculty and staff. Assists the Director of Student Academic Services & Success in disseminating information to relevant audiences, which includes students, faculty, and staff.
  • Provides administrative support to assist the graduate academic advisor. Pulls advising reports, creates & updates degree check sheets. Assists the graduate academic advisor with liaison work between school and JAA advising unit.
  • Updates university advising tools as needed for approved course substitutions and exceptions.
  • Assists with sending out academic status reports to applicable students, faculty, staff, and outside units. This includes honor roll, probation, & dismissals.
  • Assists with degree certification each semester. Reviews and provides information to help Director of Student Academic Services & Success submit the official decisions on behalf of the school.

Scheduling Officer Services (20%)
  • Works with and under the guidance of the Director of Student Academic Services & Success to:
  • Manage the course catalog for the school.
  • Assists with running the PERC report for the school each semester and informs students of classes they no longer meet pre-requisites for.
  • Works with departmental chairs on timetable updates and course scheduling for the school.
  • Assists with issuing permission numbers and assists students with enrollment issues and errors.

Other Responsibilities (10%)
  • Works with Communications team to update and maintain the school's website.
  • Assists with front desk & Dean's suite duties as needed.
  • Other responsibilities as assigned by supervisor.
Required Qualifications
  1. Bachelor's degree with one year of relevant experience OR Master's degree.
  2. Experience communicating effectively, both verbally and written, with different groups and individuals.
  3. Experience working with confidential and sensitive student information.
  4. Excellent organizational skills and experience managing multiple projects and deadlines as demonstrated by application materials.
  5. Experience with Microsoft Office systems.
Preferred Qualifications
  1. Experience working in a higher education setting.
  2. Experience with Student Information Systems, such as Enroll and Pay, Oracle Analytics Cloud (OAC), Perceptive Content, or other related systems.
  3. Experience with event coordination.
  4. Experience with program assessment in a higher education setting.
