The Client Account Coordinator is responsible for managing account openings, account closings, maintaining accurate documentation, coordinating asset transfers, and enabling high level client service standards. This position will assist in client meetings oversight and coordination including tracking and meeting material preparation. The Client Account Coordinator will work directly with the firm's Trust Advisors. This position is eligible for a hybrid work arrangement.

Reporting Relationships:

This position reports to the Chief Fiduciary Officer.

Location: Boston, MA

Essential Job Responsibilities:
  • Coordinate the account opening process. This includes the preparation of required documentation, tracking progress, and ensuring compliance with regulatory requirements.
  • Coordinate account closing. This includes ensuring all necessary steps are completed accurately and in a timely manner involving inter-departmental coordination.
  • Oversee the transfer of assets between accounts, ensuring proper documentation and compliance with regulatory guidelines.
  • Coordinate with internal and external stakeholders to verify asset transfer instructions and resolve any discrepancies.
  • Monitor the asset transfer process from initiation to completion, ensuring smooth transitions for clients.
  • Maintain client meeting calendar, including coordination with administration, investments, and attorneys.
  • Track client meetings and work with the Chief Fiduciary Officer to create and maintain client meeting metrics.
  • Prepare necessary documentation and materials ahead of client meetings, including presentations, reports, and other relevant documents.
  • Assist in post-meeting follow-up activities as needed.
  • Monitor the account opening, closing, and asset transfer pipelines, providing regular updates on the status of pending tasks and deadlines.
  • Identify issues in the process and work collaboratively with team members to address them effectively.
  • Assist with Required Minimum Distribution tracking and follow up.
  • Perform other duties as assigned.

  • Efficient management of time and resources to meet deadlines and achieve goals.
  • Proficiency in Microsoft Office Suite (i.e., Word, Excel, PowerPoint) and familiarity with CRM software for tracking account activities.
  • Ability to collaborate effectively with team members to achieve common objectives and provide support when needed.
  • Dedication to delivering high-quality service to clients, anticipating their needs, and maintaining positive relationships.
  • Flexibility to adapt to changing priorities and environments in a dynamic work environment.
  • Knowledge of regulatory requirements and procedures related to account operations in the financial services industry.
  • Ability to identify and resolve issues related to account operations and client interactions effectively.
Education:

Associate's Degree required. Work experience in lieu of a degree will be considered.

Experience:

4-6 years of financial service industry experience.


In accordance with applicable Federal and State laws, the anticipated annual salary range for this position is as follows: Boston, MA: $69,800 to $99,850

In addition to a standard benefits package, this role may be eligible for additional contingent compensation based on an array of factors, including but not limited to: work performance, geographic location, work experience, education, and qualifications. Because such contingent compensation is not yet calculable or may be zero ($0) in some circumstances, the above-listed salary range is Nixon Peabody's good faith estimate of the annual salary it reasonably expects to pay for the position at the time of this posting.
