Position Summary:

The Receptionist will be responsible for greeting all visitors and answering incoming phone calls while maintaining a high level of professionalism. Additionally, this position is responsible for providing food and beverage services for all VIP guests and company meetings and or lunches. The Receptionist will routinely handle highly confidential information in a discreet, professional manner and provide a customer service approach with all interactions.

Hours: 8:30 AM - 5:30 PM

Essential Functions:

  • Meets and greets all visitors; Assists guests upon arrival with proper badge and sign in distribution
  • Answers incoming calls; Screens and routes calls to the appropriate person
  • Supplies daily food and beverage and sets up in VIP suites and conference rooms
  • Processes all food requests with vendors; Develops and maintains relationships with outside caterers and vendors
  • Reconciles internal paperwork against caterer invoices; Submits for final approval and payment
  • Schedules conference rooms for various meetings
  • Updates company phone directory
  • Assists in ordering and distributing basic office supplies
  • Opens and distributes mail
  • Follows up post meeting(s) to ensure meeting areas are returned standard (trash removed; dish washers run/emptied; furniture in proper place, etc.)
  • Maintains organized and stocked VIP suites & kitchens (i.e. cabinets, drawers, paper products, coffee, sugars, etc.)
  • Maintains inventory of all VIP beverages, snack and paper products
  • Adheres to the letter and spirit of the company Code of Conduct, the AdvaMed Code, MedTech Code, and all other company policies.
  • Ensures Compliance with applicable governmental laws, rules, and regulations, both in the United States and internationally, by completing introductory and annual training and maintaining knowledge of compliance as it applies to your role
  • Represents the company in a professional manner and uphold the highest standards of ethical business practices and socially responsible conduct in all interactions with other employees, customers, suppliers, and other third parties

Qualifications:

  • 2+ years previous experience in a front desk/receptionist role is strongly preferred
  • High School Diploma; Associates or Bachelor's Degree preferred
  • Excellent verbal and written communication skills; Proven Customer Service skills
  • Detailed oriented and able to manage multiple priorities in a fast-paced environment
  • Team player mentality; Ability to promote a collaborative, positive and professional work environment
  • Working knowledge of Windows & Microsoft Office
  • Ability to lift up to 25 lbs.

  • Required to sit; climb or balance; and stoop, kneel, crouch or crawl
  • Required to regularly lift and/or move up to 10 pounds, and occasionally lift and/or move up to 25 pounds

Required to possess specific visons abilities, including: close vision, distance vision, color vision, peripheral vision, depth perception and capacity to adjust focus.
