Required Qualifications: (as evidenced by an attached resume)
Bachelor's Degree (foreign equivalent). Four (4) years of progressively responsible full-time administrative experience. Experience managing a budget. Advanced Microsoft Excel experience. Supervisory experience. Excellent analytical skills with the ability to gather, analyze and evaluate complex information. Experience effectively multi-tasking in a fast-paced, dead-line driven environment with a high degree of accuracy and organization. Demonstrated ability to improve business processes. Experience working with, and maintaining, confidential information. Highly proficient, professional experience in word processing, spreadsheet management, electronic messaging and internet applications (Microsoft Word, Excel, Google Apps, etc).

Preferred Qualifications:
Financial budgeting and/or reporting experience. Experience working in a Higher Education/Academic environment. Experience liaising with units such as budget, finance, and/or human resources. Experience working with at least one of the following campus computer systems: PeopleSoft, Oracle, Wolfmart, SUNYBI, SBU Reporting, E-RAS, RF Business Applications, CBM. Experience with New York State, Research Foundation and Stony Brook Foundation accounts and transactions.

Brief Description of Duties:
This position will assist the Director of Finance and Management with all financial and operational activity relating to the College of Engineering and Applied Sciences. Will represent the Director in their absence. Excellent customer service skills to include experience interacting with a culturally and ethnically diverse population is vital to this position

Duties:

  • Manage the College of Engineering and Applied Sciences annual budget. Assist in the development of long-term planning based on changing priorities and campus budget conditions. Prepare forecasts and year-end projections of the budget and ensure that funding is allocated according to strategic planning objectives. Provide detailed financial analysis and data regarding current and projected CEAS expenditures. Identify budget rollovers and prepare data for mid-year condition and year-end close-out. Advise and assist departments with the projection and management of their budgets. Recommend budget strategies, propose changes and solutions to improve business procedures, streamline processes, and resolve problems encountered by departments/dean's office. Advise, guide and train department staff on budget management and establishing long-range planning allowing for programmatic growth. Ensure College compliance with State, Research Foundation, and Stony Brook Foundation regulations. Identify and initiate requests for budget, allocation and journal transfer actions for State, IFR, RF, and SBF accounts, working closely with the Provost's Office finance staff.
  • Analyze, reconcile, and monitor all-funds incentive revenues and account balances in order to identify decreasing resources and potential fiscal deficiencies and project revenue streams. Make recommendations to rectify/reverse any negative impacts. Review and approve all new revenue supporting account proposals, rate structures and fees. Develop appropriate cost recovery mechanisms (rates, fees, savings, etc.). Control cash flow for faculty start-up packages and commitments.
  • Manage and provide detailed financial analysis for multi-year commitments, including tracking matching and in-kind commitments to RF federal and non-federal sponsored funds applications and awards. Manage SUNY Korea costs/transfers across College departments. Liaise with Graduate School and manage allocation for TA lines as well as backstopping and growth/flex line transfers.
  • Project allocations for State, SBF, IFR and SUTRA accounts. Manage yearly CBM budgeting for accounts, as instructed by the Director. Provide accurate and timely projections; monitor and maintain fiscal viability of accounts. Develop and review financial status including quarterly enrollment and revenue projections, and advise on effective use of allocations.
  • Assist the Director of Finance in preparing various CEAS financial and operational reports by identifying, interpreting, and extracting data in various formats from Excel, SUNY and Research systems as well as SBU reporting. Prepare analysis and data for participation in various Provost office financial meetings on an ad-hoc basis.
  • Co-supervise HR/Budget Coordinator and oversee all corresponding duties including adjunct/part-time instructor and admin appointments, and PCR budget requests and tracking spreadsheet. Evaluate performance and prepare employee performance programs and evaluations. Review and approve electronic employee timesheets.
  • Other duties or projects as assigned as appropriate to rank and department mission.

Special Notes:
This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.

In addition to the employee's base salary, this position is eligible for $3,087 UUP annual location pay, paid biweekly.
