Job Description
SUMMARY

The Scheduling Coordinator administers, and ensures efficient operation of the appeal process. As this role is essential to safeguard the rights of taxpayers, it requires significant judgment and responsibility. The Scheduling Coordinator logs filed appeals, assembles hearing schedules, ensures adherence to strict deadlines, timely notification of parties, and organization of hearing files. In addition to appeal duties, this role assists the Chair, Board Members, and Office Manager with special projects throughout the office as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES

* Entering assessment appeals and exemptions immediately upon receipt.

  • Determines the type of appeal and adherence to relevant deadline;
  • Background research to determine whether there is a fundamental defect with the appeal, (such as an indispensable parcel, carrying an assessment, left out), and working with the appellant to cure the error, where appropriate.
* Ensures that relevant parties, internal and external, are notified at the earliest opportunity, specifically ensuring that:
  • Ample notice is provided, to appellants and taxing authorities, prior to scheduled hearings;
  • Assessors provided with appeal documentation on the day of receipt;
  • Assessors notified of scheduled hearings, and any schedule changes, immediately;
  • Decisions are entered, verified, and mailed within two weeks.
* Verifies that hearing files are organized, and documentation is present, prior to hearings.Serves as a liaison to assessors, listening to their feedback, in pursuit of continuous improvement in both efficiency and accuracy;
* Monitors hearings to identify inefficiencies and implement procedural changes in concert with the Board Chair and Office Manager:
* Ensures that procedures, policies, rules, and regulations are applied consistently.
* Proactively leverages technology to improve efficiency and accuracy;
* Assisting with special projects throughout the office.

  • High school diploma or equivalent degree;
  • Strong organizational skills and an ability to prioritize, meet deadline, and work well under pressure;
  • Knowledge of general office policies, procedures and practices as well as the use of general office equipment;
  • Ability to communicate effectively both orally and in writing;
  • Attention to detail and high level of accuracy;
  • Accurate data entry skills.

While performing the duties of this job, the employee is regularly required to walk, stand, stoop, bend, reach, pull, push, lift, finger, feel grasp, talk, see, hear, and perform repetitive motions. The ability to remain in a sitting position for extended periods of time. Operating office equipment requiring continuous or repetitive hand/arm, fingers, and wrists movements. Move and lift light objects up to 30 pounds such as files, supplies and mail.
