Job Summary

Coordinates official events and other events in-person and virtually. Oversees vendors, event components, budget, and event marketing.


Essential Functions

The Conference Services department is seeking a qualified candidate for the open Event Services Manager position. This position will primarily focus on the sales, planning, and execution of Summer Camps & Conferences (SCC) programs from March - August annually. The ESM will assist with planning other events produced by Conference Services during the SCC offseason.

The position requires availability to work during evenings, weekends, and holidays as required by business levels.

Responsibilities include but are not limited to:

  • Solicits and books new and returning clients for SCC programs on Pitt's Oakland Campus.
  • Ensures logistical details are confirmed with SCC clients and communicated to campus partners in a timely manner.
  • Facilitates execution of all contracted activities and handles any issues experienced by SCC guests while on campus.
  • Assists department leadership with training and oversight of SCC Assistants (student workers).
  • Confirms all logistical details of assigned contracted events during SCC offseason.
  • Manages external vendors and/or internal campus services providers for event execution.
  • Communicates all event details and changes to Event Operations teams.
  • Facilitates a seamless turnover from Event Sales & Service teams to Event Operations and assists with event execution as necessary.

Provides prompt, professional assistance, and outstanding customer service during all phases of event booking, detailing, and execution for both SCC and assigned offseason clients.


Physical Effort

Requires regular traversing of the University Campus to meet with clients and stakeholders and oversee conferences and events. Event equipment set up assistance and adjustments may be required. The ability to stand, sit, walk, bend, and lift objects up to 30 pounds are required.
