Carnegie Mellon University's department of Housing Services with the Division of Student Affairs is searching for a Front Desk Reception and Access Coordinator. This is an excellent opportunity if you thrive in a fast-paced and engaging work environment.

In this role, you will be responsible for providing and coordinating daily front office service functions for our busy, customer-focused department.

Your core responsibilities will include:

  • Performing overall general office support responsibilities such as greeting guests and visitors, answering phones, taking messages, and providing routing information; sort and distribute mail and packages; assist with operating copiers and other office machines.

  • Responding to customer (students, parents, contractors, visitors, staff, etc.) walk-in, phone and email inquiries and requests in a welcoming and service-oriented manner

  • Acquiring significant knowledge of the policies, procedures, and organization of the housing and facilities area, and effectively providing that information to students, staff, faculty, and/or the public.

  • Serving as the primary coordinator for organization, control, and security of all keys maintained by the office; overseeing and distributing keys to students, staff, and vendors, and overseeing overall security of keys.

  • Performing routine audits of keys, completing documentation, and investigating discrepancies.

  • Submitting access-related electronic maintenance requests and overseeing the daily operations and maintenance of the electronic key system.

  • Co-supervising a team of student workers who assist with front office operations.

  • Maintaining and using complex databases, handling confidential information, and providing general administrative support to the office staff.

  • Drafting correspondence or forms, and compiling/running reports using software.

  • Assisting with seasonal residency processes (such as summer conference housing)

  • Other duties as assigned

Qualifications:

  • High School Diploma or GED Required

  • 3-5 years of administrative support experience required

  • Or a combination of education and relevant experience from which comparable knowledge
