Job Description
SUMMARY

The Voter Registration Coordinator is responsible for making updates (name, address or party changes) to voter registration files. All voter registration updates are handled in compliance with the National and Pennsylvania Voter Registration Acts (NVRA and PVRA) requirements. Legally mandated records must be maintained and only altered pursuant to the law. Montgomery County's Voter Registration data base is part of the Statewide Uniform Registry of Electors (SURE).

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Possess a clear understanding of all facets of SURE, the Commonwealth's statewide voter registration data system;
  • Review voter registration mail, in-person and online applications, and records pertinent information into SURE accurately and timely;
  • Monitor the possibility of duplicate registrations within the county by pinpointing similar names, date of births and other pre-determined criteria. If necessary, merge voter registration records or cancel unconfirmed voter registration records;
  • Answer phone calls from the public pertaining to their voter record;
  • Update voter registration street lists semi-annually and provide to the political parties, candidates and civic groups when requested;
  • Scan voter registration cards, related documents and signatures into SURE;
  • Review returned correspondence and if a forwarding address is provided, send letters to voters requesting that they provide their updated address;
  • Review PENNDOT in-county change of address and initial application batches to determine what changes can be applied to a voter registration record;
  • Review, compile and forward PENNDOT out-of-county county change of address batches, along with the voter registration record, to the appropriate county; Also, sends correspondence to voters and recipient county of changes made;
  • Follow established office policies relating to file organization;
  • Help answer staff questions pertaining to SURE batches and correspondence sent to voters;
  • Assist in training of new hires;
  • Assist in day to day operations which includes entering voter registration applications and absentee ballot applications, helping the public with every aspect of the voting process on the phone, in person, or through email/mail correspondence, scanning poll books, and data entry in WinEDS;
  • Assist in the preparation of annual, semi-annual, and quarterly mailings;
  • Support department goals through cooperation, information collection, sharing, and unit alignment;
  • Expected to maintain a positive, constructive attitude and to assist in any task when asked. This also includes the ability to work independently, be self-motivated and to follow through on details;
  • Must be willing and able to work overtime during Election Season to staff Satellite Offices and support Post-Election reconciliation;
  • Contribute to a positive office environment;
  • Work as a team to ensure all tasks are completed punctually.


QUALIFICATION REQUIREMENTS

  • High school diploma or equivalency;
  • Proficiency with Microsoft WORD, EXCEL, Mail merge and labels;
  • Proficient in data entry and typing skills;
  • Excellent inter-personal, oral and written communication skills;
  • Must be accurate, well organized and detail oriented;
  • Must be able to work calmly and productively under pressure;
  • Must have excellent telephone skills;
  • Must project a professional demeanor at all times;
  • Knowledge of PVRA/NVRA;
  • Mastery of SURE system protocols and procedures.
