Job Description

PRIMARY FUNCTION:

The Department of Academic Affairs and Undergraduate Medical Education is charged by the Dean of Sidney Kimmel Medical College (SKMC) with the coordination and implementation of educational agreements and the overall relationship with affiliated clinical sites that provide the clinical training of the SKMC students. Assist the Vice Dean, Senior Associate Dean of Academic Affairs and Phase Directors by providing direct operational support through the assignment, monitoring, and coordination of all projects and activities of the Division and its staff. The Department is responsible for oversight and monitoring of JeffMD Phase 2 and Phase 3. The Department maintains data as required for LCME accreditation purposes.

ESSENTIAL FUNCTIONS:

  • Manage faculty identification, orientation and attestation at SKMC student clinical rotations. This includes logistical duties (tracking faculty participation, task completion, and program evaluations) and administrative duties (communication, meeting scheduling, event arrangement) as assigned by the supervisor.
  • Serve as SKMC first point of senior leadership contact with clinical affiliate sites. Contact from the sites is routinely initiated from Affiliate Assistant Deans, Chief Academic Officers, Clerkship Directors, Site Clerkships Directors, faculty, etc.
  • Interface on a regular basis with Clerkship Directors, Site Clerkships Directors and key administrators at the clinical campuses and affiliate sites to assure compliance with accreditation standards, resolve problems and designs and implement procedures to prevent their recurrence.
  • Develop and implement programs and function as a clinical campus advocate to improve communication and interaction between the SKMC and all clinical affiliate training sites. Coordinate events to facilitate communication among all clinical sites.
  • Conduct site visits to each of SKMCs clinical affiliate sites at least annually to ensure expectations are being met by both parties. Director ensures appropriate logistics for site visits through supervision of staff. Agenda is set based on ongoing dialogue/relationship with site.
  • Interacts with TJU Office of General Counsel regarding affiliations process, including up-to-date and accreditation-ready affiliation agreements
  • Facilitates the Faculty Appointment and Promotion process through communications with and/or visits to the major clinical campuses. Works to resolve problems in the Faculty Appointment and Promotion process. Works closely with the Office of Faculty Affairs.
  • Gathers and maintains data required for accrediting bodies and publications (i.e., Liaison Committee on Medical Education [LCME], Association of American Medical Colleges [AAMC], etc.).
  • Represents the Department of Academic Affairs/UME as appropriate on academic committees. Attends meetings and serves as a member of committees, task forces, subcommittees, etc., as appointed and as appropriate.
  • Establishment of best practices by working with UME leadership, administration, staff, faculty, and students to create and maintain collaborative workflows.
  • Manage accurate and complete database of all documents, timelines, policies, procedures, and performance metrics.
  • Develop, maintain, and monitor compliance of administrative and assessment policies and processes; ensure policies are current across all student, faculty, and staff platforms.
  • Gather, analyze, and disseminate programmatic assessment data.
  • Responsible for communication to staff and faculty of assignments and deadlines, as well as monitoring progress on such assignments.
  • Serve as administrative point of contact for UME affiliate clinical sites, their directors and coordinators.

Interact with co-workers, visitors, and other staff consistent with the values of Jefferson.

  • Prepare a variety of internal and external correspondence and reports.
  • Establish and maintain effective working relationships with internal and external contacts.
  • Perform related duties as assigned.
EDUCATIONAL/TRAINING REQUIREMENTS:

Bachelorrsquo;s degree required. Msterrsquo;s preferred. Applicable work experience may be substituted for degree.

EXPERIENCE REQUIREMENTS:
  • 5 years of experience in a higher education setting; previous experience in curriculum support for medical school education preferred.
  • Significant experience working with physicians and other health care professionals required.
  • Familiarity with faculty appointment process required.
  • Previous database management required.
  • Familiarity and understanding of academic structure and university affiliates required.

ADDITIONAL INFORMATION:

  • Proficient in MS Word and Excel required.
  • Working knowledge of MS PowerPoint required.
  • Working knowledge of computerized calendars and e-mail systems required.
  • Working knowledge of computer equipment and skills necessary to work from remote sites.
  • Working knowledge of general office equipment, including, but not limited to, telephones, typewriters, copying machines, etc., required
  • Ability to pay close attention to detail required.
  • Ability to communicate appropriately (both oral and written) with all levels of personnel required.
  • Demonstrated ability to adhere to deadlines required.
  • High energy level and take-charge orientation required.
  • Demonstrated ability to work independently and on multiple tasks simultaneously required.
  • Excellent interpersonal and communication skills required.
  • Ability to develop longstanding relationship with Phase Directors, Clerkship Directors, and Administrative Staff at Clinical Campuses highly desirable.
  • Ability to adapt to quickly changing work environment required.
