Job Description

In this role you will be responsible for: Providing administrative/secretarial support to identified executives-----may include: Vice presidents, Administrators, Executive Officer and perform diversified administrative and secretarial functions. Maintaining and prioritizing the schedule, including day-to-day and long term management of meetings; addressing conflicts in schedules proactively. Scheduling meetings with internal/external/other AEHN representatives and coordinating all details and meeting arrangements; Creates and distributes minutes and/or presentation material as needed. Maintaining accurate calendars of the executive/s for which the positions supports. . Coordinating travel arrangements, creating check requests, purchasing requisitions and other forms. Supporting management of purchase orders and processing of invoices. Attends meetings and takes minutes as needed, Typing and/or creating letters, memos, agendas, minutes, reports, spreadsheets, policies, requests for information, transmittal of information, etc. Photocopies and faxes documents/materials as needed. Maintaining filing systems for committee minutes/presentations, regulatory and insurer information, etc.. Handling phone, email and postal mail inquiries from insurers. Meeting and greeting clients, visitors, employees that enter administrative suite. Receiving and screening incoming calls to administrative suite. Providing coverage for other Administrative staff as needed. Functioning independently in completing assignments and acting responsibly in all situations. Maintaining confidentiality of all information including but not limited to: patient, legal, regulatory and financial information.

  • High school diploma or equivalent required.
  • Minimum of 5 years administrative/secretarial experience required, experience supporting Executives preferred.
  • Demonstrated PC proficiency using Microsoft Office, particularly Word, Excel, PowerPoint, Access and Microsoft Outlook.
  • Aptitude for learning new computer applications as the need arises.
  • Ability to take and transcribe meeting minutes.
  • Professional level verbal and written communication skills.
  • Exceptional organizational skills and the ability to manage one#39;s own time and prioritize tasks.
