Job Description

Carnegie Mellon University invites applications for the position of Sr. Administrative and Office Coordinator with Dining Services in the Division of Student Affairs. Reporting to the Director of Dining Services, this position is an integral member of the Dining Services team. The Sr. Administrative and Office Coordinator serves as the primary point of contact for general dining program and meal plan inquiries from students, families, faculty and staff via Dining Services main phone line and email inbox. Daily work requires significant knowledge and understanding of the dining meal plans; department timelines, policies, procedures, and systems (e.g. CS Gold and StarRez) with the ability to answer questions, provide information, and problem solve. Collaboration is an essential skill for this position. Evening and weekend hours may be required in support of major university programming and events such as Orientation and Commencement activities.

Core responsibilities will include:

  • Performing general administrative responsibilities in a welcoming and customer friendly manner such as managing the Dining Services email inbox and answering phones; greeting guests and visitors; sorting and distributing mail and packages; and managing office supplies, inventories and equipment.

  • Serving as a primary user in departmental systems and complex databases (e.g., CS Gold and StarRez) to access and update information, manage any reporting needs, and providing general system support to the office staff. This involves administrative support for data and meal plan management (including updating the dining portal CS Gold and StarRez, opening/closing portal during change periods, and submitting tickets for initiates).

  • Providing primary administrative support to the Director of Dining Services that includes: general scheduling and calendar management, taking minutes at Dining Student Advisory Council (DSAC) and monthly vendor meetings, and provide general office support as needed.

  • Oversees contract and agreement timelines and amendments for the Director of Dining Services, manages survey results for all vendor and student surveys, and is the primary data-collection expert for Dining Services.

  • Other duties as assigned

Qualifications:

  • High School Diploma or GED required; Associate's Degree preferred

  • 3-5 years of administrative support experience required, preferably in a higher education setting

  • Preferred office experience in a university setting within a customer service facing area; strong organizational and computer/system experience required.

  • A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.
