Job Description

Widener University is currently seeking an Enrollment Counselor in Graduate and Continuing Studies Admissions reporting to the Associate Director of Admissions and Enrollment. The roles in the Office of Graduate and Continuing Studies have the unique opportunity to support the application and admissions process for new Graduate and Continuing Studies.

DUTIES AND RESPONSIBILITIES (including, but not limited to):

Essential duties:

The Enrollment Counselor will work with prospective students, applicants and continuing students daily via phone, email, text, web chat or in person, and guide them through the admissions and enrollment processes, helping them understand their degree program options and lead them through the various admissions processes and through registration for classes.

The Enrollment Counselor will also work closely with Academic Advisors as prospective and continuing students navigate the enrollment and admissions processes.

Working under the supervision of the Associate Director of Admissions and Enrollment, specific duties include:

  • Provide guidance to prospective and current students and parents regarding Graduate and Continuing Studies program admission and/or student aid and/or enrollment services process
  • Implement strategies to move individuals through the admissions and initial enrollment process, moving prospects to applicants, applicants to completion and admission, and admission to initial enrollment.
  • Answer routine inquiries from prospective and current students regarding admissions and/or student aid, including questions regarding the University's enrollment services processes
  • Consult with Graduate Program Directors and regarding applicant questions, concerns and challenges
  • Facilitate contact between Graduate Program Directors and prospects, applicants and admitted students as appropriate
  • Enter application information into Slate CRM and CAS systems, including direct data entry, scanning of documents and communication uploads
  • Facilitate conversion of incomplete applicants to complete, including email and phone communication where appropriate
  • Facilitate admission review process, including interview scheduling, interview day coordination, updating review/interview rubrics, and faculty review of applications
  • Enter admissions decisions and initial registration/advising information into CRM for transfer into student information system
  • Coordinate admission reviews for dual degree applicants, including communication with graduate program directors and admissions staff
  • Communicate with admitted students for deposit, onboarding and initial registration processes using CRM with additional follow up as needed
  • Provide training for faculty and other reviewers on CRM and CAS systems
  • Update application and admission information on web sites
  • Run reports from CRM systems and import data to and from various systems
  • Work extensively with the Associate Director for enrollment growth and retention strategies and other initiatives that align with unit strategic direction
  • Conduct ongoing registration outreach to graduate and continuing studies students

Secondary responsibilities:

  • Conduct annual review of application and admission materials with Graduate Program Directors and admission staff, updating as needed
  • Represent the unit at external recruitment fairs and events
  • Work with University Relations team to develop recruitment materials as needed
  • Perform other job-related duties as assigned or directed

MINIMUM QUALIFICATIONS (education/training and experience required):

Required:

  • Bachelor's degree
  • One year admissions, enrollment, online management or related customer service, office support, type roles. A combination of education and experience may be considered as qualifications.
  • Experience working with Learning Management Systems, Proven ability to communicate and work effectively with internal and external constituents
  • Ability to manage multiple projects and plan effectively
  • Excellent oral, written and interpersonal skills
  • Must understand FERPA and confidentiality requirements

Preferred:

  • Master's degree in Communications, Counseling, Higher Education, Social Work or related field
  • Demonstrated experience in Canvas LMS
  • Experience in University admissions
  • Knowledge of accreditation standards related to admissions for human services and mental health fields (i.e. CSWE, CACREP, APA etc.)

PHYSICAL REQUIREMENTS AND/OR UNUSUAL HOURS:

  • Usual office environment; heavy walk-in traffic; high level of interaction with others in person electronically or via telephone
  • Ability to be mobile between workstation and various campus buildings
  • Ability to travel within a 100-mile radius. No overnight travel required. Limited travel
  • Valid driver's license
  • Occasional evening/weekend work may be required
