Job Description

Job Title: Administrative Assistant-Full Time

Program(s): All

State: Pennsylvania

Population Served: Family Services Division

Reports To: Family Services Director

FLSA Status: Non-Exempt

SUMMARY

This position is responsible to serve as an assistant to the Family Services Director to provide quality services to families as referred. This person will assist with all types of conferences and the duties necessary to ensure that services are providing in a timely manner; conferences include Family Group Decision Making, Family Support Conferences, and Family Court Conferences.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Receives incoming phone calls and directs them to the appropriate personnel; takes messages.
  • Maintains office equipment such as the copy, fax, phone system, and postage machines.
  • Handles the office and interoffice mail. Opens, logs, sorts, and distributes all incoming mail.
  • Responsible for creating and maintaining a uniform program/fiscal filing system.
  • Responsible for all outgoing mail.
  • Greets, assists and directs visitors, staff and clients to the appropriate personnel.
  • Keeps records of company keys/distributes as necessary.
  • Assist coordinators maintain and update FGDM and FCC files to ensure that all information is current and located in family files.
  • Assist Program Managers and FGDM Coordinators in setting up for conferences as needed.
  • Coordinate conference and visitation room sign-outs.
  • Calculates weekly census report to send to COO; manages Caseload Tracking Forms and monitors outcomes reports.
  • As the program grows the Administrative Assistant will support the Program Director and Managers by completing duties as assigned.
  • Inventory and order office supplies as needed for offices.

PHYSICAL DEMANDS

  • The duties of this job require fine motor skills to write neat, legible notes, read and understand program documentation, and completing keyboarding entry.

WORK ENVIRONMENT

TRAVEL

  • This position requires an extensive amount of travel throughout northeast and/or central Pennsylvania, primarily in HuntingdonCounty.
  • Position requires a valid Pennsylvania license.
  • Position requires staff to drive and transport clients in both agency owned and personal vehicles.
  • Properly load and unload individuals to/from vehicles.
  • Follow vehicle safety guidelines, as defined by state regulation and company policy, at all times.

REQUIRED EDUCATION AND/OR EXPERIENCE

  • High School Diploma or General Education Degree (GED).
  • 2 years experience in office management

PREFERRED EDUCATION AND EXPERIENCE

  • Associates degree in a business-related field.

QUALIFICATIONS

  • Language Skills

Ability to read, analyze, and interpret complex documents and instructions. Ability to respond effectively to sensitive inquiries or complaints. Ability to clearly explain instructions in both written and oral media.

  • Mathematical Skills

Basic mathematic ability including addition, subtraction, multiplication, and division. Use of MS Excel to aid in mathematical work.

  • Reasoning Ability

Ability to read instructional bulletins and/or participate in training sessions then translate information provided into day-to-day work duties.

ADDITIONAL ELIGIBILITY QUALIFICATIONS

  • Recognizes problems and provides feedback or documentation to assist with problem resolution.
  • Clearly and consistently verbally communicates priorities.
  • Knowledge of basic computer operations.
  • Independence on projects, ability to complete/follow up tasks with direct supervision
  • Ability to follow established confidentiality policy.
  • Ability to follow established safety standards.
  • Working knowledge of applicable regulations.
